This is the most boring part of any business in this modern day and age, when legal mumbo jumbo comes in the way, but we were told we must have this in place to have a legitimate business. All of this is written by people much smarter than any one on our tribe, but the lawyers were told to be kind and to make sure that everyone is happy. So please do make sure you are aware of the below terms and conditions of doing business with Bespoke Getaway Safaris (hereinafter called "BGS", “Tour Operator”, “we” or “us”). Before making a booking with us you must ensure that you have read and understood these booking conditions. By asking us to confirm your booking you are liable to be regarded as having had the opportunity to do so and to have actually done so before the contract between us comes into existence.

Rates are quoted in USD/AED, non resell-able and on a per person shared room basis unless explicitly stated in journey proposal. We reserve the right to review published rates in the event of increases in costs or fees which are beyond our control. Matters influencing a surcharge would include, but are not limited to, increases in transportation costs e.g. fuel, scheduled air fares and any other airline surcharges, taxes or fees payable for services such as landing taxes, or embarkation or disembarkation fees at ports or airports, or increases in park fees, reserve fees or concession fees. Acceptance of a quotation from Bespoke Getaway Safaris constitutes acceptance of these Terms and Conditions which takes effect immediately.


Within 14 days from the date of issuing the invoice a 50% deposit payment of the total booking amount is due to secure the provisional booking. The balance payment should be received by BGS by no later than 120 days prior to date of service start. If the final balance is not paid 120 days prior to the date of service, BGS reserves the right to cancel the booking and enforce the cancellation policy. Any bookings made within 120 days of travel will require an immediate full payment. Credit card payments will be accepted on condition that an administration fee of 5% is charged on the total amount processed. The amount shown on the invoice, is the amount that needs to reflect in our account and should bank charges have been deducted, we would have to invoice you subsequently. If you wish to change your itinerary after a deposit has been made we will do our utmost to make the changes required, provided that notification is received in writing. Every change is subject to a fee depending on your amendments.

All cancellation requests must be made in writing and will only be considered as confirmed upon receipt of a written notification. A cancellation is subject to the payment of an administration fee and any associated cancellation costs imposed by our suppliers. For cancellations between the deposit payment and 121 days prior to arrival, a 25% deposit is forfeited. For cancellations between 120 days and 91 days prior to arrival, a 50% deposit is forfeited. For cancellations between 90 days and the day of arrival, 100% of the full invoice value is charged as a cancellation fee. BGS reserves the right to appoint recovery agents to act on behalf of them in case of default. The cost and consequences of appointing such recovery agents to recover the defaulted amounts will be for the client’s responsibility.

All funds should be transferred free of bank charges. The payment confirmation, including the SWIFT message, should be emailed to safaris@bgs.travel with the relevant reservation number as reference. Payment can be made into any of the following accounts:

Payments made to any other bank accounts or in cash will not be accepted. Please refrain from dealing with anyone who demands cash payments or offers incentives to pay by cash. We will not be held responsible for any payments made outside of the two above mentioned accounts.

Children of all ages are welcome on safari however some lodges and camps have certain age restrictions. As per regulations of the accommodation facility, the minimum age to take part in some activities or rooming allocations maybe restricted and is subject to change without prior notice.

A solo traveler surcharge may be applicable to any guest who is traveling on a single room occupancy basis.

Guests are advised to obtain comprehensive death/travel/medical/emergency evacuation insurance. Bespoke Getaway Safaris shall not be held responsible for any accident, loss, illness, theft and personal injury. It will also not accept responsibility or be liable for inconveniences or financial implications of any sort arising from any accident on the safari.

Visas may be required to enter many destinations. You must ensure that your travel documents, passports, visas and vaccination certificates are in order and that you ensure that you have taken the advice of your family doctor or GP with regard to inoculations. We will offer general advice but cannot be held responsible if you do not comply with current requirements before your departure. We do not accept liability for any advice given of a general nature prior to the holiday commencing. You are responsible for a timely check in for all flights and for presenting yourself to take up all pre-booked components of your holiday. No credit or refund will be given to you should you fail to take up any component of your holiday or if you lose any travel documents. BGS will not accept any responsibility should a client be refused entry due to incorrect or incomplete document.

Temporary or permanent loss of baggage is the responsibility of the client or the carrier. It is not the responsibility of BGS and any expense involved in such a loss is entirely the client’s or the respective carrier’s responsibility. Only soft bags are allowed as baggage allowance, including hand luggage, on all sectors and should not exceed 15kg per person. We reserve the right to refuse excess baggage. Please notice that other baggage regulations may apply for specific sectors so we recommend you check the details of carriage on all your travel vouchers. We shall not be held responsible for any loss or damage to personal property, how ever they may be caused.

Any complaints concerning accommodation, food and beverage, services or any other issues relative to the trip must be reported on site to give the service provider an opportunity to rectify the cause of the complaint. Following that, any dissatisfaction arising with the handling and resolving of the complaint on site must be sent to safaris@bgs.travel and we will endeavor to do what it takes to make it right.

Force Majeure means, in relation to BGS, any circumstances beyond the reasonable control of BGS related companies (including, but without limitation, technical problems with transport, cancelation or amendment to any scheduled flight, closure, congestion of airports or ports, acts of God, explosion, floods, tempest, fire or accident, war or threat of war, sabotage, insurrection, civil disturbance, requisition, Government intervention, adverse weather condition or other untoward occurrence, and all similar events outside our control). In these booking conditions force majeure means any event which we or the supplier of services in question could not even with all due care foresee or avoid. Neither party is liable for the delay or failure to perform any of its obligations under this agreement, in so far as the performance of such obligation is prevented by a force majeure event. Each party shall notify the other party of the occurrence of such a force majeure event and shall use all reasonable endeavors to continue to perform its obligations herein for the duration of such a force majeure event. However, if any such force majeure event prevents a party from performing all its obligations, then the other party may terminate this agreement by notice in writing. We cannot accept liability or pay compensation where the performance or prompt performance of our contractual obligations is prevented or affected by, or you suffer any damage or loss as a result of force majeure. If your booking is affected by force majeure it shall be entitled to, and may at its sole and absolute discretion, vary or cancel any reservations or cancel any reservation or arrangement in relation to the visits. Payment of any refund to you as result of the non-performance of any company/services shall use its reasonable endeavors to reimburse you where possible. However, BGS shall be entitled to deduct from any refund recoverable to the reasonable actual and potential costs to the company of the force majeure.

We will create a tailor made holiday to suit your personal needs. All quotations and reservations must be made in writing via email. Once received, the BGS Reservations Office will process the request and issue an invoice after making a provisional booking of all the services requested. If a booking is not confirmed by email prior to the provisional booking expiry date, the booking will be released automatically in the system without prior notice. All quotations are subject to change based on availability at the time of confirmation by means of payment only. A binding contract comes into existence between us when we receive a deposit of 50% of the quote price, or when we receive full payment of the holiday when the booking is made less than 120 days before your departure date. If full payment is not received 120 days prior to the departure date, we reserve the right to cancel your holiday and apply the cancellation charges.
